What an AR aging report shows

An accounts receivable aging report lists what each customer owes, split by how late it is. The usual columns are current (not yet due), 1–30, 31–60, 61–90 and over 90 days past the due date. Read it from right to left: the money in the last two columns is the money most at risk, and the customers with balances there are the ones to call this week.

How to get the data out of your accounting software

The tool finds the columns by their headings, handles reports grouped by customer, credit notes as negative amounts, and both day-first and month-first dates.

Days sales outstanding (DSO)

DSO is roughly how many days of sales are sitting unpaid: DSO = receivables ÷ credit sales for the period × days in the period. Enter your credit sales for the last 90 days in the DSO box and the tool works it out. If your terms are 30 days and your DSO is 55, customers are paying, on average, more than three weeks late, and that is cash your business is lending them for free. Questions

What is an AR aging report? A report of what each customer owes, split into columns by how long the invoices have been unpaid, usually current, 1–30, 31–60, 61–90 and over 90 days past due.

Should I age invoices by due date or invoice date? By due date if you want to see what is actually late; that is the default here. Ageing by invoice date is common in some industries and for credit insurance reports; switch the setting and the columns change.

Is my data uploaded anywhere? No. The file is read inside your browser and is not stored or sent anywhere. Only your own business details are remembered, so your statements are ready next month.

Can I make customer statements from the same data? Yes. The same upload produces a statement of account for every customer, which you can print one at a time or all together, each on its own page.
