What a good quotation includes

A quotation number, the date, and how long the prices are valid
Your business details and the customer's name, address and contact person
A clear description of each item or service, with quantity, unit price and amount
Subtotal, discount, GST (if you are GST-registered) and the total
Terms: deposit, payment terms, lead time and what is excluded
A space for the customer to sign and accept

Quotation, estimate or proforma invoice?

A quotation is a fixed price for a defined scope, valid for a set time. An estimate is an approximate price that may change. A proforma invoice looks like an invoice but is a request for payment in advance; it is not a tax invoice and is not recorded as a sale. If the price can still move because materials or scope are not final, say so in the terms or call it an estimate.

Five habits that win more quotes

Send it the same day. Speed is the cheapest way to beat a competitor.
Describe the outcome, not only the part number: "Supply and install 24 LED panels, including disposal of old fittings".
Put the validity date and deposit terms on the quote, so a "yes" can become an order straight away.
Follow up after three days and again after a week. Most quotes are not rejected; they are forgotten.
When the customer accepts, click "Turn into invoice" or "Turn into delivery order" so the same items flow through and nothing is retyped wrong.

How long should a quotation be valid? Commonly 14 to 30 days, and shorter if your costs move quickly. The generator defaults to 30 days from the quotation date and you can change it.

Can I add GST to a quotation? Yes. Choose "Add GST to prices" or "Prices include GST". Only GST-registered businesses may charge GST.

Can I convert a quotation into an invoice? Yes. "Turn into invoice" opens the invoice generator with the customer, items, GST and discount filled in and a reference to the quotation number.

Can I send the quote on WhatsApp? Download the PDF and attach it, or use "Copy as text" to paste a short summary with the total into WhatsApp or email.
