Stock Take Variance Calculator

Paste the system quantity and the counted quantity for each item. Get inventory record accuracy, the lines within your tolerance, the net and absolute variance in value, and the ten biggest variances to investigate first. Works for a full stock take or a cycle count. Free, no signup, nothing leaves your browser.

Short answer

Inventory record accuracy = lines that match (within tolerance) ÷ lines counted × 100. Variance per line = counted − system quantity; variance value = variance × unit cost. Report the absolute variance as well as the net, because overs and shorts cancel in the net figure while both are real errors.

Most operations aim for 95% or better within a 2% tolerance; below 85% the stock figure cannot be trusted for purchasing or costing.

How to read your stock take results

Record accuracy is the share of lines where the count agrees with the system. Count it two ways: exact matches, and matches within a tolerance (2% is common for fast-moving items, 0% for serialised or high-value ones). Net variance is what the stock adjustment will post to the accounts. Absolute variance is the sum of every over and short regardless of sign, and it is the better measure of process health: a warehouse can post a net variance of S$50 while S$9,000 of items are in the wrong place or the wrong bin.

Worked example: 120 lines counted, 101 exact matches and 109 within 2%, so accuracy is 84% exact and 91% within tolerance. The net variance is −S$640, but the absolute variance is S$4,300 on S$92,000 of stock, 4.7%. The top ten variances are seven SKUs from the same supplier, received by the carton and picked by the piece. That is a receiving rule, not a theft problem.

Stock take vs cycle count

Stock take procedure that produces usable numbers

  1. Freeze receiving, picking and transfers for the count window, or count by zone with movements logged.
  2. Count blind: counters record what they see without seeing the system quantity.
  3. Recount every line outside tolerance before anyone adjusts the system.
  4. Investigate the top ten by value before posting. Most of the value is in a few lines.
  5. Post the adjustment once, with a reason per line, so the next count can show whether the fix worked.

What the top variances usually reveal

Units of measure (cartons vs pieces), goods received into the wrong location, unposted deliveries, returns put back on the shelf without a transaction, and kits consumed without the components being issued. Each has a process fix. The free slow-moving stock calculator is the natural next report once the quantities can be trusted.

Questions

How do you calculate stock take variance? Variance per line is the counted quantity minus the system quantity; multiply by unit cost for the value. Sum the values for the net variance, and sum their absolute values for the absolute variance.

What is a good inventory accuracy percentage? Most operations target 95% or better within a small tolerance, and 98% or more for high-value or serialised items. Below 85% the records cannot support purchasing or costing decisions.

Should I count the whole warehouse or cycle count? Do a full count if accuracy is unknown or below 85%, then move to cycle counting so errors are caught near their cause. Many businesses keep one annual count for the audit plus weekly cycle counts.

Why is my net variance small but my absolute variance large? Because overs and shorts cancel. Two bins with +20 and −20 of the same item net to zero but mean the system cannot say where the stock is. Report both figures.
